Receptionist/Scheduler (full-time, in person)

Position Summary

The Receptionist/Scheduler is the first impression of Waters Law and plays a vital role in the daily rhythm of our office. This position is responsible for managing the front desk, answering and routing incoming calls, coordinating team calendars, and supporting a seamless client experience from the very first interaction.

This team member ensures:

  • Calls are answered promptly and directed appropriately

  • Clients feel welcomed, valued, and cared for

  • Attorneys and staff stay organized and on schedule

  • The office operates efficiently and professionally each day

This is not a passive front desk role. We are looking for someone who takes initiative, exercises maturity and discretion, and takes pride in maintaining high professional standards. The right person understands that organization, warmth, and attention to detail directly impact both client satisfaction and team success.

Waters Law is a boutique estate planning, estate administration, and elder law firm serving families across the Upper Cumberland. We guide clients through estate planning, probate, trust administration, long-term care planning, and conservatorships.

We are seeking a high-caliber Receptionist/Scheduler who understands that excellence in small things builds trust in big ways.

Core Responsibilities

Client Experience & Front Desk Leadership

  • Serve as the first point of contact for all clients and visitors

  • Greet and seat clients warmly and professionally

  • Answer and route incoming calls (switchboard management)

  • Conduct basic intake and gather preliminary information

  • Confirm, schedule, and reschedule appointments

  • Maintain a calm and polished presence at all times

Appointment & Attorney Support

  • Serve as appointment timekeeper and help attorneys remain on schedule

  • Monitor conference room reservations and prevent conflicts

  • Prepare and reset conference rooms between appointments

  • Manage client flow throughout the day

File & Document Management

  • Pull and prepare files in advance of appointments

  • Create and organize physical files once representation begins

  • Scan, copy, and digitally organize documents

  • Handle and safeguard clients’ original documents

  • Coordinate document pick-up and delivery

Office Operations

  • Maintain and stock lobby, entryway, restrooms, and kitchen

  • Ensure the office remains clean, organized, and client-ready

  • Replenish supplies and assist with inventory

  • Complete daily closing tasks

Experience & Skills

  • Entry-level position; 1–2 years of office experience required

  • Strong communication skills (verbal and written)

  • Proficient in the Microsoft and Google suites

  • Proficient with office equipment (scanners, copiers, printers, AV equipment)

  • Ability to learn legal software and internal systems

  • High school diploma or GED equivalent required

  • Previous experience with Clio, Lawmatics, Slack, Trello, Zoom, and Elevate are a bonus

Compensation & Benefits

Salary range: $35,000 – $42,000 annually, depending on experience and demonstrated skill level.

Office hours:

  • Monday–Thursday: 8:00 a.m. – 5:00 p.m.

  • Friday: 8:00 a.m. – 4:00 p.m.

This is an in-person position.
